How to Update Contact and Cases After an Official Contact Name Change

This is the recommended procedure when a case party has officially changed its name, and the system must be updated so that all previously registered information—such as Actions, Expenses, and Invoices—remains under the old name, while any newly registered information is recorded under the new name.

Update the Contact Record with the new Official Name

  1. Go to Contacts

  2. Locate and open the related Contact Record

  3. In the Contact Name table, locate the current name and from its menu (three vertical-dots) select the Official Change

  4. Enter the new Name and the Effective Date, then press Next

  5. Click to acknowledge that the associated cases will still use the previous data and they should be updated manually. then press Apply.

This step will update the Contact record with the new name, while existing Case Party records will be marked with an indicator that the Contact has updated data.

Identify Cases that need to be updated

  1. Locate and open the Contact Record

  2. Navigate to the Cases tab

  3. Review the cases and decide which ones need to be updated. You can use the Filter by Status to locate Open Cases only.

Update the Case Party with the New Name

Once you are ready to update the Case Party (e.g. your application for the Name Change has been approved), proceed as follows:

  1. Go to the Legal Case

  2. In the Case Parties table, locate the Party with the old name, click on the menu icon (three vertical-dots), and select View Case Party

  3. Once the record opens, you will see a notification stating that the Contact has updated data new data, including details about the new data, who entered them, and when.

  4. To use the new Name in he selected Case, go to Tools / Change Name, select the latest Name and press Apply

  5. Once the latest Name appears in the Case Party field, press Dismiss in the Notification.

This step ensures that any newly registered information for this Case Party will be recorded under the new Name. Note that this step is not required for Invoices and Transactions, as these are always registered under the Contact’s Official Name.

Additional Updates in Case

Depending on the status and type of the Case, you might also need to Correct the Case Short Title, as well as to Correct the Case Official Title (similar to the Change Plaintiff procedure).
